Administrative Coordinator
at GPAC California in California (Published at 31-10-2022)
Here at gpac we are working with a wonderful nonprofit organization that is looking for an Administrative Coordinator to join their diverse team! This is a hybrid position in LA with the possibility to be remote. This position would be reporting to the Chief Program Officer (CPO) and would be supported by the Program Officer and Program Coordinator.
Duties and Responsibilities:
- Schedule and manage the CPO and Director of Policy & Coalitions (DPC) calendars and prioritizing and shifting meetings as conflicts arise
- Attend internal/external meetings for/with the CPO and DPC as needed
- Prep the CPO and DPC for meetings with documentation and a review of purpose, attendees, agenda, and goals
- Take notes at meetings and distribute to appropriate stakeholders; add action items to the task management system and follow up on said action items
- Format and distribute information for internal and external communications (i.e. memos, emails, presentations, reports, etc.)
- When necessary, serve as a first point of contact for CPO and DPC, relaying urgent information, updates, or calls
- Assist in special projects as needed
- Assist with maintaining and organizing files in the relevant internal project databases
Travel & Expense:
- Support the planning and coordination of site visits activities, training, events, and visits from donors, government officials and other staff members; organizing meals, lodging, and transportation
- Coordinate all aspects of domestic and international travel (air, ground, and lodging); compose detailed itineraries for travel and key meetings; collect boarding passes and complete check-in
- Maintain a clear understanding of CPO and DPC travel preferences and make plans that align with those and company policies (i.e. airline mileage program, airport location, seat assignment, rental car, hotel rewards, etc.)
- Manage payment and expense reporting for all travel and meetings; organize and create cash and expense reports using expense system Expensify
Qualifications:
- Possess a high school diploma
- Proficiency in MS Office Suite, G Suite (i.e. Excel and Google Sheets) required
- Experience with Slack, Airtable, Asana, Expensify, Squarespace, and Zoom
- Experience and/or willingness to use data collection platforms (such as Fulcrum)
- Comfort and accuracy inputting and reporting data
- Excellent written and verbal communication skills
- Ability to prioritize and follow through with minimal direction
- Flexibility to travel as needed
- Ability to lift up to 25lbs and walk up and down stairs
