Position Description:

As Executive Assistant, you will enhance the Executives' effectiveness by providing support and organization to the Executive team for the Chicago headquarters.

Responsibilities:

  • Schedule meetings and appointments for Executives and their teams; prepare Executives for upcoming meetings and appointments with relevant research/background, materials, etc.
  • Manage travel itineraries
  • Coordinate Executive communication, including taking calls, replying to emails and interfacing with Executive network of clients, vendors, etc.
  • Ship priority documents via expedited mailing service
  • Assist with Executive expense reporting
  • Provide Executives with necessary edits for documents using Microsoft Office products, such as Word, PowerPoint, Excel, and more
  • Maintain an organized system of paper and electronic documents
  • Order lunch for Executives and their guests as needed
  • Arrange corporate events
  • Perform other related duties as assigned, including occasional errands

Qualifications:

  • Progressive experience within executive support or reception function in office environment
  • Reliable transportation to occasionally run errands with personal vehicle (mileage will be reimbursed in accordance with company policy)
  • Ability to communicate effectively in oral and written form to all levels or organization
  • Demonstrated proficiency with Microsoft Outlook, including PowerPoint, Word and Excel
  • Proven ability to manage upwards
  • Team player
  • Detail-oriented and extremely organized; exercises follow through
  • Friendly demeanor
  • Exercises strong discretion with confidential and/or proprietary information/data
  • Flexibility to adapt quickly to changing business needs; comfortable working in a high-energy and fast-paced work environment
  • Strong ability to prioritize multiple assignments and projects, following through as needed
  • Provides his/her own car for business-related errands (standard reimbursement policy will apply)

Pay: $50,000.00 - $100,000.00 per year

Schedule:

Supplemental Pay:
