Job Summary:

The Spine Physiatry Scheduling Coordinator I responds to all inbound appointment calls by serving as a liaison between assigned Physicians and patients. The position assists with clinic appointment scheduling including rescheduling clinics, maintaining cancellations list, fax referrals, and quality assurance such as audits, appointment authorizations, maintaining cancellation list, voicemail management, and Physician referrals (faxed, online, and inbound and outbound referrals). The position is also responsible for the maintenance of the referral spreadsheet and monthly reporting.

Essential Duties:

  • Maintains appointment scheduling for Spine Surgeons and Physiatrist ? Answers all inbound calls to schedule appointments based on established scheduling standards in a prompt manner. Manages fax referrals, online referrals, online appointment request, internal and external referrals for the assigned physicians. Verifies insurance networks before scheduling appointments and obtains office visit referrals for all new patients if required by insurance. Documents appointment scheduling accordingly to maintain referral spreadsheet for monthly reporting.
  • Monitors and audits Physician schedules to maximize Physician productivity and ensures appropriateness of appointments scheduled. Maintains cancellations list and evaluates opportunities to adjust Physician schedules to minimize scheduling gaps or inefficiencies.
  • Monitors and promptly processes all voice messages (queue and private line) to ensure timely follow-up. Expect a limited number of voice messages because inbound call management will be a priority for this position.
  • Monitors and processes Physician request to cancel clinics. Ensures clinics are canceled and reschedules within 24 hours of notification.
  • Coordinates with the research team to ensure prompt and accurate scheduling of research patients. Typically the research team will notify appointment scheduling team via email with patient information and date/time requirements.


  • High School Diploma or GED required.
  • 2-4 years of clinic appointment scheduling experience required; 4-6 years of experience preferred.
