The LTWP (Lunch Time Wellness Program) Operations Manager:
Works under the direct supervision of the Health and Wellness Coordinator, the collective direction of the ASEP administration, and the Daniel Webster E.S. Principal. The LTWP Operations Manager works with the LTWP staff to plan and implement developmentally appropriate activities that meet specific program goals. This includes but is not limited to: leading and facilitating activities, observing and monitoring the program, working closely with staff on a daily basis, helping with training, communicating with day school teachers and principal regularly. Communicate daily with the Health and Wellness Coordinator and LTWP Assistant Manager regarding the progress of the program and any issues that arise.
Responsibilities:
- Work directly with LTWP staff to plan, facilitate and execute expected assigned duties.
- Oversee and Observation of activities on both playgrounds, assisting staff with all issues, ensuring children?s safety.
- The LTWP Operations Manager will work directly with LTWP Assistant Manager to help ensure that they communicate all student and staff incident reports immediately. As well as follow up with principal, Day school Teachers, LTWP staff and After School management.
- Manage all Program transitions to the yard.
- Continue to use Monthly Calendar system and Daily activity staff location white board system.
- Observe program operations while giving constructive feedback and engaging staff. Specifically, around play leadership, transitions, appropriate activities and engaging students.
- Monitor and enforce clock-in procedure and protocol.
- Making sure equipment storage shed is properly opened and closed on a daily basis.
- Motivate staff and delegate small tasks when needed.
- Handle calls from staff arriving late and/or calling in sick. Find replacements when necessary.
- Enthusiastic demeanor and create good rapport with students, day teachers, and LTWP staff.
- Ensure safe and attentive supervision.
- Assign staff to distribute play equipment and other items such as boom boxes, extension cords, etc. to playground.
- Ensure all playground areas are clearly marked and defined. Game Signage and rules are posted.
- Co-manage Rainy Day sessions with LTWP assistant.
- Ensure that program has enough equipment on the playground at all times. As well as proper use and handing of sports equipment.
- Work closely with the Health and Wellness Coordinator and ASEP administration to assess staff progress and development, as well as program development.
- Other duties as assigned by Health and Wellness coordinator and/or ASEP administration staff.
The Daniel Webster Assistant Site Coordinator:
- Supports Site Coordinator in the areas of curriculum oversight, classroom management, and supervision of staff, specifically for the Daniel Webster Site but also overall, when needed.
- Utilizes the concept of staff development and stewardship to support staff to be successful in working directly with students.
- Works independently to accomplish daily tasks and self manages timely check ins with Site Coordinator, Health and Wellness Manager, Head Teachers, Line Staff and if necessary, day school staff.
- Takes ownership of the organization by ensuring that management and staff are abiding by state and federal law, as well as the rules and regulation of ASEP funders.
- Abide by commonly known practices of human resource protocol when dealing with employee/community grievance.
- Ensure that the organization is abiding by its principles of academic alignment/ reinforcement and social equity.
Curriculum Development and Management
- Support Site Coordinator to ensure that staff develop appropriate curriculum for K- 5thgrade students.
- Be a resource to staff during planning meetings to ensure the development of appropriate curriculum for K-5 grades students.
- Assist Site Coordinator with regular observations both formal and informal.
Project Management and Support
- Support Site Coordinator and Directors in executing projects and by being a part of specified project teams.
- Attend DCYF and ExCEL meetings and workshops when needed.
- Support Site Coordinator and Health and Wellness Programs Manager in managing the Health and Wellness program
- Oversee snack and Playsep programing.
- Support the Site Coordinator in managing the Enrichment Program, when need.
- Assist with organizing and facilitating demos and showcases.
Staff Management and Evaluations
- Give staff specific/authentic positive feedback to reinforce and encourage effective and desirable behavior.
- Give corrective feedback, when necessary, in private and as soon as possible.
- Assist Site Coordinator with staff observations and evaluations
- Enforce the proper protocol in regards to staff evaluation and discipline (see Policies and Procedures). *All evaluation and discipline need final approval by Directors and HR Specialist who are responsible for overseeing proper and commonly known human resource protocol.
Staff Management and Support
- Ensure that the Daniel Webster ASEP groups are stocked with classroom materials on an ongoing basis.
- Inform Office Manager ahead of time when stock is low and advice management on needed materials for staff.
- Enforce staff?s use of Supply Request Forms
- Support staff and try to answer all questions and concerns.
- Ensure program efficiency by directing staff to Site Coordinator, Office Manager, Program Director or Executive Director only when necessary.
- Provide support to all staff, particularly when program is short staffed and in need of a replacement teacher, during special events or Restorative Justice activities.
- Assist in training and notifying new staff members of policies and procedures specifically that pertain to first and foremost, safety protocol as well as curriculum execution and classroom management.
- Work with Site Coordinator to support Enrichment Program, making sure students are properly supervised and transitioned to ASEP or homeroom when needed.
- Work with Site Coordinator to support Daniel Webster Specialty Club programs, making sure students are properly supervised and transitioned to ASEP or homeroom when needed.
- Support the Restorative Justice process.
- Adhere to ASEP and SFUSD?s policies around the implementation of Restorative Practices and Positive Behavior Incentive Systems
- Contact parent when a student issue arises to schedule a meeting and request support from management team
- Implement a Student Success Plan, and PBIS strategies including the use of alternative discipline models including community service projects
- Support teachers in the RP implementation
- Communicate to students in a calm and neutral tone of voice.
- Support the Health and Wellness Coordinator in managing the Health and Wellness program.
Communication with Community
- Support all communications with parents and community members regarding all program activities, including but not limited to ? schedule, special events, changes in schedule, etc.
- Communicate any questions regarding parent/community relations to the Site Coordinator.
- Interact with the public in a professional manner. Attempt to provide high quality customer service by first attempting to answer all questions regarding program before directing to upper management
- Take initiative to be informed about all areas of the organization to at the very least answer basic questions from the public and offer quality customer service.
- Balance professionalism with friendliness every day. Maintain a consistent positive, helpful attitude.
- Smile, engage in conversation, make eye contact and have a sense of humor with staff, managers and community members during every interaction.
Enrollment and Attendance Assistance
- Check group staff sign-in sheets and ensure that staff are properly signing-in and out on a daily basis. Enforce staff sign-in protocol.
- Be aware of ASEP Application Processing Protocol including the use of Salesforce to maintain up to date enrollment records and acceptance package communication.
- Provide direct customer service by ensuring that parents are aware of policies and procedures, expectations and are given the proper documentation.
Spring Break and Summer Programs
- Support Directors and other Site Coordinators in managing Summer Programs.
- Work with the Site Coordinator and Program Director on designated projects during the week of Spring Break.
General Duties
- Take notes, make eye contact and engage with colleagues during meetings.
- Return all email and phone calls to supervisors, staff, community members and funders within 48 hours. Follow the proper ASEP etiquette policy.
- Communicate concerns and ideas with parents, staff, Coordinator, Directors and Executive Director.
- Attend management meetings, planning meetings, in-service training workshops and meetings.
- Follow work plan to meet deadlines and complete projects and tasks.
- Let supervisors know when you need support or clarification.
- Communicate when you are unable to complete job duties or meet deadlines.
- Lock the doors and close the center for the day using the closing procedure, when needed.
- Maintain the orderliness and cleanliness of the classrooms and office, including taking out trash when needed.
- Use systems and tools to work efficiently and always maintain yourself and your work space organized.
- Always keep track of inventory and ensure the proper handling of center equipment and supplies.
- Ensure safe and attentive supervision of children at all times.
- Interact with children in a positive and caring manner.
- Is in charge of entirety of daily operations for the site in the absence of the Site Coordinator.
- Other duties as assigned by management staff.
Minimum Qualifications:
- At least 50 hours working in a child care setting under the direction of a Child Care Center Director.
- Interest in working with children.
- Ability to work independently and on a team.
- Ability to work with children in a positive and caring manner.
- Must be at least 18 years of age.
- Fingerprint and Department of Justice clearance.
- COVID vaccination or qualifying exemption.
Preferred Qualifications:
- Child and Infant CPR and First Aid certificate.
- Experience in recreation, physical education, elementary school education, art, music, or dance that is relevant to elementary school children or be concurrently enrolled in classes.
Work Hours:
Full-time. 9am- 6:00pm Monday through Friday on days when school is in session.
