Join Our Team! The Clinical Administrative Assistant is responsible for providing advanced and confidential clinical duties in support of the Child and Family Services Department. Work directly with the Assistant Director of Clinical Services and other members of Child and Family Services regarding daily duties and responsibilities involving department and intradepartmental support including reception, coordination and communication. Serve as a liaison and facilitate smooth communication processes between Child and Family Services and external providers, on-campus or external departments, including corporate level departments. Ensure accurate meeting minutes, records management, documentation accountability and treatment plan coordination.

QUALIFICATIONS:

  • Bachelor?s Degree required or Equivalent.
  • Strong computer and office skills.
  • Excellent verbal and written skills.
  • 3-5 years of record/audit experience and/or administrative experience.

JOB DUTIES:

  • Provide administrative support to the Assistant Director (AD) of Clinical Services and/or other department designated staff to include but not limited to: coordination, communication, typing, filing, meeting schedules, preparation and maintenance of calendars/schedules while using discretion and expertise to ensure only pertinent information is included while maintaining confidentiality internally and externally. Taking meeting minutes as assigned by the AD of Clinical Services, as well as other general administrative duties.
  • Complete Interdisciplinary Treatment Team (ITT) meeting clinical documentation when assigned by the AD of Clinical Services including but not limited to: gathering treatment team recommendations, set up draft treatment plans with provider recommendations, set up ITT meeting minutes and prepare/send memos to remind team members when recommendations are due.
  • Attend and coordinate scheduling for Child and Family Service meetings when assigned by the AD of Clinical Services including administrative and treatment team meetings, case reviews, prepare and distribute necessary materials including templates for meetings and other materials, take minutes and participate as requested.
  • Facilitate off site storage for all statewide programs and engages with outside vendors for services related to records maintenance and destruction in accordance with KidsPeace policy.
  • Other duties as assigned by Assistant Director of Clinical Services and/or other members of leadership.
