Reports to: Mayor

Summary

The Administrative Assistant to the Mayor serves as the first point of contact for the Office of the Mayor. The Administrative Assistant to the Mayor performs day-to-day administrative operations for the Office of the Mayor under the direct supervision of the Mayor.

Representative Duties

  • Serves as the office manager for the Office of the Mayor; maintains and updates calendars for the Mayor?s office; receives and screen requests, coordinates and confirms meetings, appointments and other events
  • Oversees the communication for the Mayor?s Office including receiving and screening visitors and telephone calls, providing information and handling issues that require sensitivity and independent judgement; responds to request for information and resolves complaints from constituents
  • Oversees the preparation and typing of correspondence, memoranda, reports, presentations, form and other documents; ensures that documents are accurate, completed and conform to Mayor?s Office standards, policies and procedures; ensure materials, report and documents for signature are accurate and complete; responds independently to mail and email inquires regarding a variety of City matters
  • Provides day-to-day leadership and works with staff to ensure a high performance, customer service-oriented work environment that support achieving the Mayor?s objectives and service expectations; provides leadership and participates in programs and activities that promote a positive staff working environment
  • Answers telephone calls and greets visitors; ascertains nature of business, directs callers/visitors to appropriate personnel and records/relays messages; responds to request for service/assistance; initiates and returns calls as necessary
  • Maintains file system of various files/records for the Office of the Mayor; prepares files, organizes documentation and files documents in designated order; retrieves/replaces files; scans records into computer; conducts records maintenance activities in compliance with guidelines governing record retention

Qualifications

High School Diploma or equivalent; five years of secretarial, administrative or office management experience; or any equivalent combination of education, training and experience which provides the knowledge, skills and abilities for this job. Bachelor?s Degree preferred.

KNOWLEDGE, SKILLS AND ABILITIES

  • Knowledge of office and administrative management practices and procedures, including document and file management
  • Knowledge or principles and practices of sound business communication
  • Proficient in Microsoft Office Suite
  • Proficient in composing and preparing correspondence
  • Effective management of accurate and concise records, reports and documents
  • Ability to organize, direct, and coordinate the activities of clerical staff in a manner conducive to quality performance and high morale
  • Ability to take individual initiative in assisting in researching new techniques and methods pertaining to various divisions
  • Ability to establish and maintain good working relationship with other departments, employees and general public
  • Ability to fulfill all duties and responsibilities of secretarial job description as needed
