PRIMARY FUNCTION:
To provide secretarial and administrative support to the ACO Executive Director and staff as required. To coordinate the overall endeavors of eBrightHealth ACO, and Population Health Programs in general, in a professional and efficient manner ensuring confidentiality of all matters.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Works collaboratively with Program Management Team(s) to support Program Operations while assisting with the following:
Provides Program support; attends meetings and prepares minutes, composes agendas and meeting materials, drafts correspondence, schedules meetings, including notifying attendees, reserving rooms, arranging meals and refreshments, equipment and other support materials and assists with required follow up as needed.
Schedules and manages executives' calendar using e-mail calendar system and provides all pertinent information needed for scheduled appointments. Anticipates needs and provides assistance to ensure manager is prepared for daily activities.
Prepares requisitions and maintains supply inventory and materials, checks receipts for incoming materials, and processes invoices for payment.
Makes travel reservations, orders tickets, makes and confirms lodging and airline reservations, and prepares travel advance and expense reports.
Maintains time and attendance information for the department including timekeeping for payroll.
Reviews and maintains monthly expense reporting.
Assists with the operational and promotional aspects of educational events/webinars such as Conferences, Summits and All-Participant meetings.
Serves as a key role in maintaining current Program contact information/distribution lists.
Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.
Performs other related duties as required.
SCOPE, PURPOSE, AND FREQUENCY OF CONTACTS:
Meets frequently with internal and external ACO Partners with the purpose of developing relationships and assisting with overall operations to meet the needs of the ACO.
DIRECTION/SUPERVISION OF OTHERS:
None.
DIRECTION/SUPERVISION RECEIVED:
Receives direct guidance and feedback from ACO Executive Director.
EDUCATION AND EXPERIENCE REQUIREMENTS:
High School diploma or equivalent required.
Experience in and familiarity with healthcare operations.
Experience and familiarity with practice transformation, quality improvement, meaningful use, practice operations are preferred.
An equivalent combination of education and healthcare operations experience may be substituted.
KNOWLEDGE, SKILL, AND ABILITY REQUIREMENTS:
Knowledge of clinical office functions and ability to establish and maintain favorable relationships with Program Partners, internal team members from different areas, Program participants/clinicians and their office staff.
Strong Knowledge of various computer programs and aptitude for learning new software quickly and independently.
Outstanding organizational skills required.
Strong oral and written communication skills required.
Ability to work well in highly matrixed environment required.
Ability to work well in team environment required.
Ability to effectively evaluate problems and recommend solutions.
Ability to exercise independent judgment when working with people of all ages, temperaments, and personalities.

PHYSICAL DEMANDS:
Sitting with intermittent standing and walking. Daily bending and reaching. Intermittent light lifting and carrying. Ability to drive a vehicle.
WORKING CONDITIONS:
Office environment. Travel may be required to regional provider sites.
