Position: Wealth Management Specialist
Physical Location: 2800 Cantrell Road, Little Rock, AR 72202
Reports To: Trust Officer
Working Conditions: Normal, no adverse or hazardous conditions
Job Grade: NE17
Job Group Category: Non-Exempt
Work Hours: Monday - Friday, 8:00am to 5:00pm
Primary Purpose:
Provide administrative support to Asset Management & Trust Officers, Division Manager, and other staff as needed. Duties include, but are not limited to: data entry, receptionist, answering telephone, special projects, and other clerical duties. Must project a professional and pleasant image in person and through telephone interaction.
Principal Duties and Responsibilities:
Meet and greet clients and visitors in a professional manner.
Assist Trust Officers with daily administration of trust accounts as assigned.
Answer telephones and transfer calls as appropriate in a professional manner.
Update Trust and other documents using Microsoft Office applications in a highly proficient manner.
Assist with and create PowerPoint presentations as needed.
Update shared Trust files on the public drive as needed.
Prepare and balance proof work to send to Trust Operations, including deposits to trust accounts and distributions from trust accounts with officer approval.
Serve as custodian for dual custody for Trust vault.
Mail client information and other client mail outs as required.
Assist Trust Officers in the daily administration of their various estate, trust, retirement services, and agency accounts in accordance with the Company?s overall written policies and procedures.
Assist Retirement Services officers with communications to Third Party Administrators (TPAs) or record keepers for retirement plans.
Monitor client ?Daily Investments and Cash Reports?, ?Daily Transaction Reports?, and ?Pending Disbursement Transaction Listings? to insure that accounts have sufficient liquidity as needed.
Coordinate with Trust Officers to ensure that a current ?Statement of Investment Objectives? (SIO) has been signed and is on file for each client.
Assist with client relationships and maintain relationships in absence of a Trust Officer as needed.
Perform general clerical duties to include, but not limited to: copying, faxing, scanning, mailing, and filing.
Maintain hard copy and electronic filing system for Trust Accounts as needed. File client?s correspondence, copies of disbursement checks, paid bills and other documents electronically via OnBase imaging system.
Take mail and proof work to the mailroom on a daily basis by cut off time for the day.
Prepare packages for UPS/FedEx shipments.
Coordinate and maintain records for accounts payable.
Setup and coordinate conference room schedule as needed.
Coordinate with Technical Support for maintenance on computer and office equipment.
Order and maintain office supplies as needed.
Coordinate client Christmas gifts and Christmas card mailings.
Support all staff members as assigned on special projects.
Perform other duties as assigned
Job Specifications:
Two years college and/or five years of banking or trust experience, preferred.
Ability to work well with others in a team environment.
Ability to communicate and maintain a professional manner in conversation and appearance with clients, vendors and other Trust personnel. Duties require professional verbal and written communication skills.
Ability to use general office equipment and multi-task job functions.
Ability to reason and make basic decisions unsupervised.
Ability to compute basic math functions such as addition, subtraction, multiplication, division, common fractions, percentages and ratios.
Ability to read and understand routine legal and trust documents and other documents such as operations, maintenance and procedure manuals.
Ability to compose or create routine reports and correspondence.
Highly proficient in Microsoft Office applications: Word, PowerPoint and Excel.
General knowledge of commercial bank computer applications.
