Frost Brown Todd LLC, a regional law firm of 950 + legal professionals and staff in 12 offices located throughout the mid-west, Dallas, TX, and Pittsburgh, PA is currently searching for an Office Assistant (back-up legal secretary) to join its West Chester, Ohio office. This individual will be responsible for a wide variety of duties to assist in the efficient delivery of client service and the smooth operation of the office. We seek a team player with excellent communication and interpersonal skills necessary to maintain effective relationships with attorneys, clients and staff whether in person, via email, or by telephone. An individual with a flexible, can-do, get the job done attitude is essential for this small office environment. This position will primarily handle the duties described below but we seek someone with one to two years of legal secretarial experience as we anticipate the need for back-up and overflow secretarial assistance on occasion and potential growth opportunities in the future. Salary commensurate with described level of experience and skill required.

Job Requirements

  • One to three years of professional service experience.
  • Minimum of two years of general office experience; one to two years legal experience preferred but not required.
  • High School graduate; college degree preferred.
  • Ability to perform basic word processing functions.
  • Ability to type 55+ WPM .
  • Reliable transportation is required (mileage and expense reimbursement provided weekly).
  • Ability to lift and carry up to 40 pounds.
  • Ability to operate fax, copy machine and basic to intermediate knowledge of MS Word and Outlook.
  • Adaptable to changing priorities and demands; must be able to handle frequent changes, delays or unexpected events.
  • Data Entry experience would be a plus.
  • Ability to work cooperatively in a fast-paced environment.
  • A high level of initiative and self-motivation to get the job done without constant supervision.
  • High energy, team oriented individual with a can-do attitude.
  • A mature and dependable individual is a must.
  • Excellent organization and attention to detail skills.
  • Excellent customer service skills.


  • Delivering and filing legal documents with the local courts in surrounding counties.
  • Pulling, re-shelving and managing the file rooms.
  • Maintaining database of client files and bar-coding files.
  • Processing outgoing mail, managing faxes and handling large copy and mass mailing responsibilities.
  • Sorting and delivering mail in Receptionist absence.
  • Process all outgoing overnight packages via UPS delivery in Receptionist absence.
  • Delivering mail to the post office at the end of the day.
  • Set up and breakdown of conference rooms for meetings throughout the day in Receptionist absence.
  • Ordering and retrieving food from local restaurants for morning or lunch time meetings in receptionist absence.
  • Maintain general cleanliness and organization of the office kitchen, conference rooms and general office work area as needed.
  • Light typing and general administrative assistance as needed by the legal secretaries and attorneys in a back-up or overflow capacity.
  • Reception and telephone responsibilities on a daily basis.
  • Assist attorneys with travel arrangements, expense reimbursements, timesheets and other routine clerical tasks.
  • Assist attorneys and staff with special projects as needed.
  • Order supplies in receptionist absence.
