Administrative Assistant III Full-time

The Administrative Assistant III processes purchasing and reimbursement requests, submits PO&M and Telecom requests, and works closely with the Financial Analyst 2 and Operations Manager on financial and operational tasks. The incumbent will also coordinate research and educational lecture series, working with internal and external speakers. This position requires the incumbent to be an independent finance professional with strong organizational skills, attention to detail, and effective communication. In addition, the incumbent must have great customer service skills to work with a wide variety of MIND Institute constituents, including faculty and staff, as well as patients, research participants, and outside organizations.REQUIRED - Experience providing administrative and/or program support.

  • Experience with financial, inventory, and travel systems/applications. - Proficiency with Microsoft Suite (Excel, Word, PowerPoint), email, internet, etc. - Experience coordinating financial tasks such as departmental purchasing and travel requests. - Experience working with minimal direction, as well as working as part of a team; and to organize, plan, coordinate, and perform numerous/various tasks simultaneously and efficiently to meet deadlines.
  • Demonstrated experience in exercising professional judgment, discretion and tact, maintaining confidentiality, using creativity and decision-making to assess situations and needs, and identifying problems and developing solutions/strategies within the scope of responsibility of this position. - Experience providing excellent customer service to diverse clientele (e.g., faculty, staff, patients, research subjects, vendors), including good verbal and written communication skills. PREFERRED - Experience in Kuali, DaFIS Decision Support, other University financial systems (e.g., AggieBuy, AggieTravel) and applications (e.g., Microsoft Office365). - Knowledge of University accounts payable and travel/entertainment policies, and ability to interpret and apply them to daily transactions.
SPECIAL REQUIREMENTS - THIS POSITION MAY BE SUBJECT TO A CRIMINAL BACKGROUND INVESTIGATION, DRUG SCREEN, LIVE SCAN FINGERPRINTING, MEDICAL EVALUATION CLEARANCE, AND FUNCTIONAL CAPACITY ASSESSMENT.
