Summary/Objective

Variety of secretarial/clerical functions for the program. This position requires the ability to work independently, exercising judgment and initiative, as well as the ability to follow direction accurately.

Essential Functions

· Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

· Receives and processes all referrals for Family Preservation Services (including Family Restoration and Clinical) within necessary time constraints.

· Makes contact with all referred persons to initiate services within strict timelines.

· Keeps in contact with all referral agency coordinators regarding services for all clients going through the intake process.

· Requests DCS Case Plans, contact information for all referred persons, and renewal/updated/corrected referrals from referral agency coordinators.

· Completes case notes for each contact with the client, caregiver and/or referral agency coordinator.

· Completes monthly reports for all cases that are currently going through the intake process and have not been assigned to an on-going staff.

· Up keep of Family Restoration referral contact information, as well as other data entry requirements.

· Maintains spreadsheets and trackers used in the department.

· Confirms start dates and times with all parties for all visitation services.

· Assists with creating and uploading court billing documents, as needed. Schedules initial intake appointments for all Family Restoration Services.

· Coordinates all materials, food, beverages, gas cards, etc. for the Activity Sessions.

· Scans and uploads client and staff files into the database.

· Provides customer service to all clients, caregivers, referral agencies and staff served by the Family Restoration department.

· Establish and maintain effective working relationships with staff members, the public and other agencies.

Supervisory Responsibility

This position has no supervisory responsibilities.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear and listen. This is largely a sedentary role. Would require the ability to lift files, open filing cabinets and bend or stoop as necessary. This position requires the ability to occasionally lift office products, materials and supplies, up to 25 pounds.

Position Type/Expected Hours of Work

Some flexibility in hours is allowed, but the employee must be available between the "core" work hours of 8a.m. to 8p.m. as well as occasional evenings and weekends. Must work 40 hours each week to maintain full-time status.

Travel

No travel is expected for this position.

Required Education and Experience

  • High School diploma or GED.
  • Minimum of three years? experience in a paid administrative position.
  • Experience as an administrative assistant or executive secretary a plus.

Additional Eligibility Qualifications

  • Ability to provide excellent customer service to all clients, caregivers, referral agencies and SCAN staff.
  • Ability to work within strict time constraints and meet deadlines.
  • Excellent knowledge of English grammar, spelling and punctuation, with ability to type from draft copy.
  • Ability to accurately type 60 WPM.
  • Ability to review and edit reports and correspondence.
  • Skill in gathering and reporting information.
  • Knowledge of basic arithmetic to make simple calculations.
  • Knowledge of computer systems and applications.
  • Skill in secretarial practices and procedures.
  • Skill with photocopy machines, calculators, fax machines and other office equipment.
  • Ability to sort and file materials correctly.
  • Ability to read, understands, and follows oral and written instructions.
  • Establish and maintain effective working relationships with staff members, the public and other agencies.
