Administrative Assistant Full-time

  • Greets the public both in person and on the telephone, providing a professional and pleasant experience to ensure a positive first impression. Performs many clerical tasks that are essential to the efficient operation of the office.

Primary Duties and Responsibilities:

  • Answers and forwards incoming calls.
  • Greets clients and visitors.
  • Provide administrative support to management and sales staff. Provide informational support to funeral home, other cemetery locations, grounds workers and accounting.

  • Receives first call information from funeral homes/families, gathers pertinent cemetery lot ownership record information and prepares arrangement interview file for Family Service Representative.
  • Prepares Interment Verification and related service documentation.
  • Record keeping and filing
  • Record all burials, property transfers and pre-need contracts in lot books and index cards
  • Create new index cards for all new pre-need contracts
  • Route merchandise orders to appropriate location; track order to completion
  • Prepare daily transmittal and send to accounting; maintaining a 30-day copy file.
  • Controls and tracks interment scheduling.
  • Maintain petty cash.
  • Prepares routine correspondence.
  • Performs other duties as assigned. Job duties are subject to change as directed by management.

  • Possess general office skills, such as typing, filing and knowledge of word processing software.
  • Cooperative, team player, detail-oriented and adaptable to change.
  • Excellent verbal, written, interpersonal and presentation skills.
  • Commitment to customer service and quality.
  • Efficient and dependable; punctual

Physical Requirements and Work Environment:

Work involves sedentary to light work in an office setting. There is frequent need to stand, stoop, walk, sit, lift light objects (up 10 pounds) and perform other similar actions during the course of the workday. Fairmount Memorial Association promotes a drug/alcohol-free work environment through the use of mandatory pre-employment drug testing.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Minimum three years? experience in the secretarial field.
  • Knowledge of cemetery operating practices.
  • May be a notary public.

Employment with Fairmount Holdings, Inc. is at will, which means that either the employee or the employer is free to terminate the employment relationship at any time with or without reason, advance notice, or warning.

No representative of this organization has the authority to change this at-will relationship except in a specific written agreement declaring such intent and signed by the employee and:

  • The Chairman of the Fairmount Memorial Association Board
