Overview:

The Service Coordinator III?Team Lead position reports directly to a Director/Manager or Director of Operations and oversees the Motor-Pool Service area while working closely will all staff members in the Purchasing, Motor Pool and Campus Postal areas. This person will also work with all faculty and staff across the campus and act as the Team Lead for the center to coordinate motor pool functions, work closely with the Postal Technician, and Purchasing Director on all matters that involve these areas.

Service Coordinator III?Team Lead position provides a diverse range of customer service and/or routine general services and support to students, staff, and faculty. Will perform clerical services, equipment operation, basic maintenance and repair, materials handling, logistical support, and/or other related duties in accordance with the day-to-day requirements of the specified department or area. Will perform a combination of program-related and/or administrative functions to support or oversee community, social, and instructional programs; and/or coordinate people, information, events, or facilities.

The working hours for this position are Monday-Friday where it may be necessary to cover business hour shifts of 7:00 am-4:00 pm or 8:00 am-5:00 pm. This position may require on call and after-hours work, and this position may be required to work some overtime during busy periods. The position may also require some travel.

Responsibilities: Core Responsibilities:
  • Manage the campus fleet to include using the State of Utah Fleet Focus module, reporting summaries, and maintaining records.
  • Perform team lead duties?including managing schedules/calendars for the fleet and student work schedules, creating and processing forms, setting up motor-pool schedules, vehicle maintenance records, and keeping other records as appropriate.
  • Work closely with the Postal Technician?provide team-lead guidance, support the postal service area and all functions of the center.
  • Act as the direct contact for State of Utah Fleet while advising and providing vehicle policy and procedural requirements to drivers. Oversee the Risk Management online driving tests for fleet drivers, report and follow through for accidents, maintain and assign as needed driver fuel pin numbers.
  • Work with the USU team and handle surplus property according to USU policy.
  • Performs miscellaneous job-related duties as assigned.
Reporting and Supervisory Responsibilities:
Service Coordinator III?Team Lead typically reports to a Program Coordinator, Manager, or Director. This classification may train and guide part-time and/or student employees.
Typical Functions:
  • Will oversee the day-to-day operations the motor-pool service area, provides leadership to post office center and support to purchasing department.
  • May write, edit, and coordinate the development of promotional materials, educational materials, training manuals, newsletters, and/or brochures, as requested and needed for the area.
  • May update and maintain operations manuals.
  • Orders and maintains inventory as necessary.
  • Maintains cleanliness of assigned area.
  • Participates in meetings and training as required.
  • Ensures proper use and maintenance of equipment and supplies.
  • Promotes continuous improvement of workplace safety and environmental practices.
  • Will provide leadership in hiring, training, and guiding part-time and/or student employees.
  • Maintains relationships and coordinates special projects with University administrators, faculty, staff, students, and the general public.
  • May manage cash, deposits, and Point of Sale system.
  • May coordinate the merchandising and marketing for assigned area.
  • May coordinate events and activities of the assigned area.
  • Provides high-quality customer service.

Four years of experience in a customer relations area or an associate degree/vocational training plus two years of experience is required.
