THIS POSITION IS FOR 7.5 HOURS PER DAY AT 180 DAYS PER YEAR.
PAY FOR POSITION: PSE SALARY SCHEDULE LEVEL 4 - $20.25
This position?s responsibilities are to provide a variety of clerical support to the School Psychologists including filing, receiving student records, composing and typing correspondence, minutes, and reports, providing customer service, operating a computer, maintaining knowledge of a variety of program rules and regulations, producing custom reports, and a variety of other support functions.
ESSENTIAL FUNCTIONS
Depending upon the individual assignment, the Clerk ? Special Services, School Psychologist Support may perform all or a combination of the following:
1. Maintains special education student files and ensures confidentiality of information.
2. Requests student special education records from other districts and agencies; maintains a log. Distributes meeting notices.
3. Coordinates with district Special Services office regarding tracking and transferring of students in special programs. Performs a variety of troubleshooting for. School psychologists and maintains time lines.
4. Word processing of correspondence, reports, and meeting minutes. Composes routine forms and correspondence as needed; distributes materials. Sends meeting notices to all involved.
5. Maintains current knowledge of program rules, regulations, laws, and procedures; processes a variety of materials for program compliance.
6. Operates a computer and a variety of software packages such as word processing, spreadsheet and database.
7. Data entry of special education information, under direction, checks data for compliance.
8. Testing./observation of students.
OTHER FUNCTIONS
9. Receives, opens, and date stamps incoming mail; may screen mail and take action on appropriate items.
10. May serve on various district committees and/or departmental work teams. Models appropriate and cooperative behavior, including protecting confidential information, consistent with district guidelines.
11. Performs related duties consistent with the scope and intent of the position.
REPORTING RELATIONSHIPS
Reports to an assigned administrator; may receive lead guidance from multiple program personnel.
MENTAL DEMANDS
Required to meet inflexible deadlines; required to shift priorities; requires concentration.
PHYSICAL DEMANDS
Required to sit for prolonged periods; exposed to visual display terminal for prolonged periods.
MINIMUM QUALIFICATIONS
Education and Experience
Education, training, skills, and experience necessary to carry out the assignment, including two (2) years of office support experience, including maintaining detailed records.
Allowable Substitutions
Advanced training in business or secretarial procedures may substitute for up to one (1) year of the required experience on a month-for-month basis and, such other alternatives to the above qualifications that the district may find appropriate and acceptable.
Required Knowledge, Skills and Abilities
Skill in effective oral and written communication. Keyboarding skill at sixty (60) WPM. Skill in operating a variety of office machines. Knowledge of general office procedures. Knowledge of correct grammar, spelling, and English usage. Ability to problem solve, and work independently. Ability to maintain confidentiality. Ability to set priorities and meet deadlines. Familiarity with program terminology desirable. Ability to perform accurate mathematical calculations. Ability to organize and coordinate activities. Skill in providing customer service. Ability to operate a computer and learn the operation of a variety of software packages. Some positions may require 10-key operation. Skill in filing and retrieval of documents. Ability to calm irate or frustrated customers. Ability to establish and maintain effective working relationships with a wide variety of others.
Licenses/Special Requirements
Requires fingerprinting and background check to determine that there have been no convictions involving physical molestation, abuse, injury or neglect of a minor. Must complete training in and adhere to district infection control plan.
