We have a great opportunity for an Office Specialist 2 in Food Services at Eastern Oregon Correctional Institution in Pendleton, Oregon!

This position is represented by American Federations of State, County, and Municipal Employees (AFSCME).

What you will be doing

This position serves as an Administrative Assistant to the Food Service Manager and the Food Service Section and is responsible for typing all correspondence, reports, and directives as dictated or from general instructions. This position's responsibilities include preparing Purchase Requests, Receiving and Inspection Reports, employee timekeeping, scrutinize budget reports, organize work activities, setting priorities, supervision of inmates, operating computer equipment, inventory control, assigning work, and other Food Service record keeping. This position is responsible for enforcing and abiding by all applicable Department of Corrections Rules, Procedures, Institution Procedures, and Administrative Directives, and following and enforcing established security procedures at all times.

What We Are Looking For

Minimum Qualifications

Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents;

OR an Associate's degree in Office Occupations or Office Technology;

OR Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

Working Conditions

This position requires daily direct supervision of incarcerated male inmates. The employee is required to work weekends and/or holidays, as required and/or necessary. Physical exertion may be required, responding to inmate's out-of-control behavior, restraining inmates, breaking up fights, coming to the aid or defense of another staff member being assaulted, and may serve as a member of the Emergency Response Team. Daily work in a highly active and noisy, area with the work being completed on time.

General Knowledge & Requested Skills

  • Proper grammar, punctuation, spelling, capitalization, and sentence structure
  • A variety of clerical functions at a technical or secretarial support level in an office
  • Communicate orally and in writing with a variety of people answering questions and gathering and exchanging information
  • Organize work efficiently and exercising independent judgment in making appropriate decisions concerning work methods
  • Apply specific, well defined rules, regulations, policies, and procedures to work performed
  • Learn and work within specific agency operations, policies and procedures affecting assigned work
  • Review technical forms or information for compliance with established criteria
  • Gather and organize information or data and prepare reports
  • Maintain confidentiality of agency records

Preference will be given to those applicants with the following skills:

  • Proficiency in AFAMIS (Automated Financial, Accounting, Manufacturing, and Inventory System)
  • Proficiency in DOC400
  • Experience with reconciling purchase orders with invoices

Requirements for Employment

Successful candidates for this position must pass a Criminal Justice Information Systems (CJIS) fingerprint-based background check and maintain CJIS eligibility. Due to CJIS requirements related to system access, the following convictions are likely to result in being disqualified for this position: felony convictions, computer theft, identify theft and fraud. CJIS clearance is done at the conditional job offer.
