Administrative Coordinator Full-time

Job Responsibilities

Reporting to the Assistant Vice President for Information Technology, the Administrative Coordinator oversees purchasing and all budgets, as well as routine office matters. Monitors and maintains all IT budgets; evaluates and recommends approval of all internal financial requests; obtains quotes for purchases; initiates requisitions and check request vouchers; places orders using procurement cards; ensures all purchases comply with state regulations and university policies; follows up with vendors, procurement department and receiving department as necessary; performs procurement card reconciliation and allocation; and initiates and processes blanket orders for recurring services. Maintains records, reconciliations, allocations and worksheets related to all telecom services; performs annual and monthly departmental billing, allocations and journal entries for telecom services and cell phones; and serves as campus cell phone coordinator. Evaluates and recommends approval of all personnel action documents and initiates, tracks and performs follow up for all staff and student personnel action forms, including E-Verify. Answers phones and screens calls for the Assistant Vice President; orders and maintains office supplies; scans ad hoc documents and recurring forms; performs daily mail pickup and deliveries; and maintains departmental administrative documentation and procedures notebooks.

Minimum and Additional Requirements

Bachelor's degree and one year of relevant professional experience, including budgeting and personnel management, required. Related experience at an institution of higher education and proficiency with Microsoft Office Suite highly desired. Knowledge of office management procedures and practices; state and federal rules governing purchasing and personnel issues; and accounting and budgeting principles and practices. Ability to coordinate diverse administrative functions; maintain departmental budgets; establish & maintain effective working relationships with faculty, staff, students and the general public; and handle highly sensitive and confidential information. Excellent organizational and communication skills.

Preferred Qualifications

Familiarity with computer hardware/software and IT terminology preferred.
