The Senior Executive Coordinator, reporting directly to Chief Executive Officer, will be responsible for managing the day-to-day administrative activities for the Chief Executive Officer, as well as manage the team of Executive Coordinators and Receptionist. Finally, the Senior Executive Coordinator will be responsible for assisting the Chief Executive Officer in the preparation of presentations, communications pieces, or other materials as well as participation in projects as necessary and requested by the Chief Executive Officer. This role requires attention to detail and coordination skills. The Senior Executive Coordinator role is a very important since the Chief Executive Officer?s effective and efficient use of time is critical to the company?s success. A demonstrated ability to influence people and successful experiences working in a fast-paced, multi-functional, matrixed, and international team are required.

OVERALL JOB PURPOSE

ROLES & RESPONSIBILITIES

Executive Administration

Responsible for supporting the Chief Executive Officer?s administrative needs, the Senior Executive Coordinator will:

  • Manage the Executive Coordinator Team and Receptionist that support the Executive Leadership
  • Prepare and schedule activities such as travel arrangements, internal and external business meetings, client or third-party appointments, conferences and general office events, including scheduling of conference room use and catering needs
  • Screen, prioritize and direct incoming calls; assist caller whenever possible and take accurate messages when necessary
  • Read, research, summarize and route incoming correspondence; respond and/or ensure proper follow up
  • Manage and produce expense reports for executives in a timely manner and in compliance with company?s travel & expense policies
  • Draft letters and documents and initial communications
  • Organize and maintain files and records ? both electronic and paper

Team Coordination

Gibson values teamwork. In support of that goal, the Senior Executive Coordinator will:

  • Support Executive Leadership in scheduling team meetings, conferences, and/or other events involving multiple participants
  • Participate, as requested, in meetings to take notes and summarize action plans and help ensure timely delivery of required actions

Special Projects

In order to maximize the Senior Executive Coordinator?s value to Gibson, the Senior Executive Coordinator may be requested by the Chief Executive Officer to prepare, participate in, and/or lead projects.

Other

While the Senior Executive Coordinator must be technically proficient in executing the responsibilities noted above, tasks of equal value are required in this role:

  • Establishing and maintaining strong relationships with teams locally and globally
  • Positive participation in change management and process improvement initiatives

PERSON SPECIFICATION

Required Experience

  • 5+ years positive history supporting senior executives
  • Demonstrated history of supporting larger group activities

Essential Skills & Knowledge

  • Experienced/Proficient in Microsoft Word, Power Point, Excel, and Outlook
  • Exceptional written/verbal communication skills
  • Outstanding organizational and follow-up skills
  • Must be able to manage multiple projects simultaneously, and organize workload to meet organizational timelines in a fast paced, high-growth environment
  • Solid interpersonal skills with proven ability to develop and maintain effective relationships at all levels of the organization
  • Ability to handle confidential information sensitively in a highly professional manner

Travel

Periodic travel to and between the company?s locations may be required (approximately 5-10%).
