Associate Director of Alumni Relations Full-time

POSITION OBJECTIVE

The Associate Director of Alumni Relations is a valued and contributing member of the Weatherhead School of Management?s External Relations team. Working with the Senior Director of Alumni Relations, the associate director is responsible for developing and implementing the school?s strategy to grow and strengthen the alumni network. The associate director will be responsible for increasing alumni engagement by involving and encouraging alumni participation in alumni activities, events, and volunteer opportunities, including Homecoming & Reunion Weekend; , alumni gatherings and programs; the school?s signature events; recruitment of high-quality prospective students; participation in student career management programs; support/involvement with the Alumni Advisory Council; providing financial and intellectual resources; and other appropriate means of connection to the school.

The associate director will manage Weatherhead events and highly visible programs involving alumni, donors, faculty and external constituents. These responsibilities include managing event logistics, budgets and program expenses, and working with vendors to plan and execute events and alumni/donor programming. These events include, but are not limited to, international, regional, and local alumni and donor events and receptions (including events with 600 to 700+ attendees); commencement activities; David A. Bowers Economic Forecast Luncheon; Weatherhead 100; Homecoming & Reunion Weekend. The associate director will manage student?alumni relations programming and events, and serve as the liaison to student organizations and student experience office to develop suitable connections with alumni.


ESSENTIAL FUNCTIONS

  • Develop, implement and manage programming and events that will encompass all Weatherhead degree programs, including undergraduate alumni, with a goal of increasing alumni participation and satisfaction. Manage a variety of alumni receptions and recognition luncheons held throughout the fiscal year, including arranging location, securing bids, billing, catering, invitations, mailings, and follow up. Create a system of tracking information and budget expenses both electronically and in hard copy. Manage event logistics and planning details for numerous alumni programs at the Weatherhead School. These programs have a major role in promoting Weatherhead and the university with alumni and outside constituencies. This includes event publicity, designing and printing fliers and invitations, and such event logistics as parking, sound system, and catering. Create a comprehensive timeline and template for Weatherhead School activities and events, in coordination with the Dean, Associate Dean, and Senior Director of Alumni Relations. Work closely with the Senior Director of Alumni Relations to plan and execute all events and manage budget for all alumni initiatives within the budget and school expense guidelines. Supervise the maintenance of accurate lists of participants in various Weatherhead-sponsored events and develop a mechanism by which participants can be properly stewarded by the Department of External Relations. Communicate information from contact with sources to other staff members for cultivation and solicitation purposes or other engagement. Establish metrics to track attendance and evaluate the success of special programs, events and activities. (65%)
  • Increase alumni engagement in a variety of new and unique ways to enrich the alumni experience. Work closely with development, marketing, and key leadership constituencies to develop strong ties between alumni and the Weatherhead School of Management. Represent the Weatherhead School of Management among its various external and internal constituencies by building relationships and credibility with alumni (local, regional and international), donors, students, staff, faculty, and campus partners. Recruit alumni to participate in volunteer activities, including the Alumni Career Network, Homecoming & Reunion Weekend, mentoring, career fairs, student recruitment and peer solicitation. Manage alumni communication, including coordination and scheduling of communication, web site information, Weatherheadlines, alumni database updates and management, and social networking sites, and email communications. Work closely with the Senior Director of Alumni Relations to support the Alumni Advisory Council, and cultivate relationships with its members to strengthen ties with the school. (25%)
  • Plan and execute programs designed to strengthen relationships between students and alumni and increase student involvement and awareness of the Weatherhead alumni programs, CWRU Alumni Association, and other alumni benefits Serve as the department liaison to various departments (i.e. , Student Services and Career Management) and student organizations to design, coordinate and facilitate programs to engage students and build student-alumni relations. Execute commencement activities relating to student-alumni relations including attending staff committee meetings and organizing alumni awards. (10%)


NONESSENTIAL FUNCTIONS

Perform other duties as assigned.


CONTACTS

Department: Daily contact with office staff members.

University: Frequent contacts with deans, vice president, faculty and staff.

External: Frequent contact with high-level trustees, donors and alumni.

Students: Frequent contact with students and student interns in External Relations.


SUPERVISORY RESPONSIBILITY

No staff supervisory responsibility. Will supervise student workers.


QUALIFICATIONS

Experience: Three to five years of experience in event planning, alumni relations, donor cultivation or related experience within a business or academic setting.

Education/Licensing: Bachelor?s degree required.

WORKING CONDITIONS

General office environment. Must be able to work some weekends and evenings.
